Information About Children
EVML provides services to children and teenagers. Personal information about a minor is collected from or with the knowledge and consent of their parent or legal guardian, except where otherwise permitted by law.
We limit the collection of information about students to what is reasonably necessary to provide and administer EVML programs.
Photographs, Audio, and Video
EVML may photograph or record lessons, performances, recitals, camps, or other activities. Identifiable photographs, audio, or video will only be used publicly when appropriate consent has been obtained from the adult participant or the minor participant’s parent or guardian.
Media consent may be withdrawn for future use by contacting EVML, subject to material that has already been published, distributed, or incorporated into completed projects.
Where Information Is Collected and Stored
Most student and family information is collected, managed, or stored through the third-party services EVML uses to operate its programs:
Google Forms and Google Workspace are used for registration forms, inquiries, email communications, and related business records.
MyMusicStaff provides EVML’s student portal and is used for scheduling, attendance, invoicing, lesson notes, repertoire, communications, and account management.
Stripe, integrated with MyMusicStaff, securely processes payments. EVML does not directly receive or store complete payment card details.
Hostinger provides website hosting and related website services.
EVML may also retain limited records directly when reasonably necessary for teaching, communication, administration, legal, or accounting purposes.
These service providers maintain their own privacy and security practices. Information handled through them may be processed or stored outside British Columbia or Canada and may therefore be subject to the laws of another jurisdiction.
Cookies and Website Analytics
This website may use cookies and similar technologies required for the website to function and to provide general information about website traffic and usage.
You may limit or disable cookies through your browser settings, although some website features may not function correctly as a result.
Embedded Content and External Links
The website may contain embedded audio, video, maps, social media content, or links to external websites. These third-party services may collect technical information or use cookies according to their own privacy policies.
EVML is not responsible for the privacy practices or content of external websites.
Disclosure of Information
Personal information may be shared with service providers only when reasonably necessary to operate EVML, process payments, administer programs, or provide requested services.
Information may also be disclosed when required by law or when reasonably necessary to protect the rights, safety, or security of students, families, EVML, or others.
Retention and Security
Personal information is retained only for as long as reasonably necessary for educational, administrative, legal, or accounting purposes.
EVML uses reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, loss, misuse, or disclosure. However, no method of electronic storage or internet transmission can be guaranteed to be completely secure.
Accessing or Correcting Your Information
You may request access to the personal information EVML holds about you or your child and ask that inaccurate information be corrected.
You may also withdraw consent to certain uses of personal information, subject to legal, administrative, or contractual limitations.
