Studio Policies

Tuition & Payments

Tuition for the 2026-27 season is divided into equal monthly payments, so the amount stays the same regardless of how many lessons fall within a particular month. Scheduled holidays, breaks, studio closures, and one teacher sick day are already factored into the tuition rate.

Monthly payments are automatically charged to the credit card on file through the Student Portal using Stripe, on the 24th of each month. A valid payment method must be maintained while enrolled.

Scheduling & Attendance

Enrollment reserves a student's regular weekly lesson or class time.

Students are expected to attend their scheduled lessons consistently and arrive prepared and on time. Please provide as much notice as possible when a student will be absent.

Missed lessons due to illness, travel, scheduling conflicts, or other student absences are not refundable and are not eligible for make-up lessons or credits.

Late Arrivals

Students arriving late will receive the remaining portion of their scheduled lesson. Lessons will still end at the regularly scheduled time.

Instructor Cancellations

One teacher sick day is already factored into annual tuition. If a lesson is cancelled for this reason, no make-up lesson or credit is required.

If additional lessons must be cancelled by EVML, a make-up lesson, credit, or other appropriate arrangement will be provided.

Holidays & Studio Closures

The regular 2026-27 teaching season runs from September 14, 2026 through June 17, 2027.

EVML will be closed for Winter Break from December 18, 2026 through January 3, 2027, and for Spring Break from March 14 through March 28, 2027.

EVML is also closed on statutory holidays that fall on regular Monday or Tuesday teaching days. These closures are already factored into tuition.

Health & Illness

Please do not attend an in-person lesson when experiencing significant cold, flu, or other contagious symptoms.

When practical, an online lesson may be offered at the regularly scheduled time instead. Student absences due to illness remain subject to the regular attendance policy.

Schedule Changes

Requests to permanently change a student's regular lesson time are subject to availability.

EVML may occasionally need to adjust lesson times or scheduling. As much advance notice as possible will be provided when a change is necessary.

Unexpected Closures

If in-person lessons cannot reasonably take place due to severe weather or other unexpected circumstances, lessons may be moved online where practical. EVML will communicate any changes as soon as possible.

Late Enrollment

Students may join during the teaching season when space is available.

Tuition for students beginning after the start of the season will be adjusted according to their start date. Regular monthly tuition will then continue for the remainder of enrollment.

Discontinuing Lessons

One month's written notice is required when discontinuing ongoing lessons or classes.

Regular tuition remains payable during the notice period, and the student's scheduled lesson time remains reserved during that period. Missed or unused lessons during the notice period are not refundable.

Student Portal

Students and families use the EVML Student Portal to view schedules, manage billing and payment information, notify EVML of absences, and access shared lesson materials and resources.

Studio & Equipment

Students are expected to treat instruments, recording equipment, and studio facilities with care.

EVML provides access to instruments and professional studio resources where appropriate to the student's program. Students must follow instructions regarding the safe and appropriate use of studio equipment.

Recording, Video & Media

Recording, photography, and video projects may be offered as part of EVML programs and student activities.

Permission will be obtained where required before identifiable student photos, recordings, or videos are publicly shared by East Van Music Lab.

Participation in optional recording or video opportunities has no cash value and cannot be exchanged for tuition credit.

Student Conduct

East Van Music Lab is a respectful learning environment. Students are expected to treat other students, instructors, guests, instruments, and studio property appropriately and to follow reasonable studio and safety instructions.

Seriously disruptive, disrespectful, or unsafe behaviour may result in removal from a lesson, class, or program.
